Web Assessment Tool
Product Strategy and UX
Reworking a complex assessment platform that reduced client setup time by 95%+.
This client's Assessment Tool objectively assesses how and to what extent sexual abuse prevention best practices are implemented throughout an organization. The existing platform made that process unnecessarily manual for both clients and internal consultants, with setup taking up to 30–45 days and much of the analysis and follow-up work happening outside the platform.
My Role
My Role: UX/Product Design
Scope: UX Discovery, UX/UI, Wireframes, Mockups, Prototyping, Workflow Design, UI Components, Automation
Development: Falkon Technologies
I led the full product design, from discovery and UX through UI and prototyping, helping transform a highly manual assessment process into a more streamlined, automated experience.
The Challenge
The Assessment Tool was developed to objectively assess and measure the implementation of sexual abuse prevention best practices. But the existing platform created challenges around timely action, usability, navigation, and clarity around next steps. Setting up a new client was a highly manual process that could take 30–45 days. On the administration side, the platform was code-dependent, had no automation, and required much of the data analysis and next-step work to happen outside the platform across 20+ Excel sheets. The result was a process that was difficult to track, difficult to manage, and unnecessarily time-consuming.
Project Goals
The redesign focused on four core goals:
- Add automation for time savings - Shorten client setup time by at least 50%.
- Improve the client experience - Make completing and understanding next steps easier.
- Bring the work into the platform - Eliminate 20+ separate Excel sheets by keeping actions and data analysis in-platform.
- Improve the overall UX - Create an easy-to-navigate, highly customizable, and responsive platform.
The Product
Turning assessment data into action.
The Assessment Tool allows organizations to confidentially assess the strength of their policies and practices designed to keep those in their care safe from abuse. The completed self-assessment provides clients with resources and prioritized action items to help improve their processes and procedures. The redesign focused on making that information more useful once it was inside the platform: easier to navigate, easier to understand, and easier to act on.
Automation
The biggest opportunity was eliminating the work behind the screen. The existing administration process relied heavily on manual work and code-dependent workflows. Consultants had to manage data and analysis across dozens of spreadsheets, creating additional work and making it difficult to track progress or history.
I redesigned the workflows around automation and in-platform data management so the system could handle more of that work directly. This eliminated previous workarounds, streamlined the process, and made client communication and next steps more timely.
The Outcome
More than 95% less setup time!
The redesigned platform significantly reduced client setup time by over 95% (from 30-45 days to under an hour), far exceeding the original goal of a 50% reduction.
Automation and in-platform workflows also:
- Eliminated previous manual workarounds
- Reduced consultant time spent on manual tasks
- Brought data analysis and actions into the platform
- Improved data management and reporting consistency
- Clarified next steps for clients
- Improved navigation and overall usability
- Made it easier to track progress and history
- Saved consultants hours, if not weeks, of work
The result was a more efficient assessment process for the client and a clearer experience for the organizations using the tool.
